Visitor Terms & Conditions — Fotomuseum Hilversum

1. Definitions

1.1 “The museum” or “Fotomuseum Hilversum” refers to the organisation that manages and operates the museum, including its management, staff, representatives, and security personnel.

1.2 “Museum premises” refers to all areas under the museum’s management, including but not limited to exhibition spaces, entrance areas, café, shop, meeting rooms, and outdoor spaces.

1.3 “Visitor” refers to any person who enters the museum premises or participates in an activity organised by the museum.

1.4 These Visitor Terms & Conditions apply to any agreement between the museum and the visitor, including special activities outside regular opening hours.

2. Tickets, Fees & Refunds

2.1 Visitors must show a valid admission ticket and any discount passes upon request from museum staff.

2.2 Refunds & validity

Visitors are not entitled to a refund of the admission fee or any other compensation in the event of loss or theft of their ticket before entering the museum. If a visitor chooses not to use a pre-purchased ticket, this is entirely at the visitor’s own risk, including when the ticket is valid only for a specific date or time. Tickets cannot be exchanged, and admission fees will not be refunded.

Refunds may be granted only if circumstances outside the visitor’s control make the museum visit impossible — at the sole discretion of the museum’s management.

2.3 The museum may deny entry if a ticket or discount pass was not obtained through the museum or an authorised partner.

2.4 The museum reserves the right to adjust opening hours or temporarily close parts of the premises due to emergencies, maintenance, renovations, or safety procedures.

3. Conduct within the Museum

3.1 Visitors must behave in accordance with public order, museum rules, and staff instructions at all times. Failure to comply may result in removal from the premises without refund.

3.2 Visitors must be identifiable during security checks.

3.3 Parents, guardians, and group leaders are responsible for the behaviour of children or groups they accompany.

3.4 The following is not permitted inside the museum:

• Touching artworks or exhibition materials unless explicitly allowed

• Eating or drinking outside the museum café

• Bringing animals, except certified service dogs

• Causing disruption or nuisance (noise, obstruction, inappropriate behaviour)

• Bringing dangerous objects or large bags (bags up to A4 size are allowed)

• Distributing promotional materials, selling goods, or conducting surveys without permission

3.5 For safety reasons, the museum may inspect bags or belongings. Visitors who refuse inspection may be denied entry.

3.6 Personal photography is permitted unless otherwise indicated. Flash, tripods, and commercial photography are not allowed without prior written permission.

3.7 The museum occasionally records photo and video material during activities. Visitors may appear in this material. Those who object to the publication of identifiable images may notify the museum.

4. Liability

4.1 Visiting the museum is at the visitor’s own risk.

4.2 The museum is not liable for loss or damage to personal belongings unless caused by wilful misconduct or gross negligence by the museum.

4.3 The museum is not liable for inconvenience or disturbances caused by maintenance, renovations, crowding, behaviour of other visitors, or malfunctioning facilities.

4.4 The museum is only liable for damage that is the direct and exclusive result of wilful misconduct or gross negligence by the museum or its staff, and only up to the highest of the following amounts:

• the admission fee paid and travel costs;

• the amount covered by the museum’s insurance;

• the amount compensated by a third party.

4.5 Indirect or consequential damage — including loss of profit or missed opportunities — is excluded from liability.

5. Force Majeure

The museum is not liable for damage resulting from circumstances beyond its reasonable control, such as extreme weather, public health measures, strikes, emergencies, technical failures, or government restrictions.

6. Compliments, Complaints & Suggestion

Visitors may submit compliments, complaints, or suggestions via info@fotomuseumhilversum.nl. The museum aims to respond within 30 days.

7. Privacy

For information about how personal data is processed, the museum refers to the privacy statement available on its website.

8. Lost & Found

Lost items may be handed in at the front desk. Items are generally kept for up to three months unless otherwise determined by the museum.

9. Applicable Law

These Visitor Terms & Conditions and any agreement between the visitor and the museum are governed by Dutch law.
